Hi everyone,

I’m curious how others in the business brokerage space are leveraging CRMs or helpdesk tools like Freshsales/Freshservice for managing client onboarding, valuation prep, and deal flow.

We’ve been looking into a few firms, and came across one in Canada — Robbinex — that seems to have a structured intake process for privately held businesses. Their workflow made me think about how much of that can be replicated or automated through existing Freshworks products.

Would love to hear:

  • Are you customizing Freshworks tools for deal lifecycle management?

  • Any integrations you’ve found helpful?

  • Or are you using entirely separate platforms?

Let’s exchange insights.

We’ve been exploring similar workflows, and using Freshworks tools has definitely helped streamline the client journey for our brokerage operations.

As a business broker in Canada, one key area we focused on was automating the initial intake and valuation prep. With Freshsales, we’ve set up custom pipelines for each stage of the deal lifecycle — from the first inquiry to document collection and eventually offer negotiation.

A few tips that worked for us:

  • Custom Fields & Workflows: Capture critical client info upfront so you can automatically trigger tasks or follow-ups.

  • Email Sequences: Great for sending structured onboarding instructions without manually following up each time.

  • Integration with File Storage: Linking Freshsales with cloud storage simplified sharing valuation documents and NDAs.

If your process is similar to Robbinex’s structured intake, much of it can be replicated in Freshworks with the right automation rules. It saves a lot of manual back-and-forth and helps keep deal flow organized.
