Allow users to delete their helpdesk accounts

Can you add a function in the user's profile allowing them to delete their account? This would only be for agents and users and would be separate from the "Cancel my account" function which deletes the whole helpdesk. This delete account function would not be available for the helpdesk owner as this would render the helpdesk broken.

Any chance this would be approved?

Also, could you make it so that there is a way to PERMANENTLY delete a contact? Right now, if you delete them, you can just restore them. Also, when an account is deleted through the user's profile, Freshdesk should: 1. Delete all of the data permanently. 2. Remove the email and password from the contacts so the user can signup again if they want to. 3. Delete all topics and tickets or attribute them to "Deleted Account".

I hate to bring this post back after so long, but it is kind of a must for me. Is this even possible?

+1 I really need to be able to permanently delete emails

Any workaround? I want to migrate about 200 users and 2500 tickets via API. I can not write script to migrate this because i create and delete users very many times. And after first delete user i can not create user with existing external_id or email. It's very bad

Hi Guys Sorry we will not be supporting complete PURGING of data because each USER account is linked to 50 DB Tables in Freshdesk, which includes Roles, Forums Likes, Solution likes/Feedback, Reports and lot more.

If we allowed complete DELETION of USER, we will end up screwing up the links in the backend, which is why our Team has restricted the complete Deletion of USERs.

As of now, there is no way to delete the record completely in Freshdesk

Thanks and hope you understand

Vijay

I would also like to be able to completely delete users aka contacts. That functionality is critical for testing.

Workaround:

Edit the deleted user: change name and email to some dummy values. Delete the other fields. Now you can register again that user's email address.

Thank you very much Helge for the workaround!

Hi, Helge, I have a question for you. I was trying your workaround but I can't delete the email associated with an account. Can you explain how you did this? Thank you!

Maria, you can't alter or delete a primary email but you can delete secondary emails.  If you make a new contact with a different email address, you can merge the contact containing the email you want to delete with the new contact and make the new contact the primary email.  You can then go ahead and delete the email from the first contact.  This also works for when a contact changes their email address, or if the wrong email address was entered when the contact was created.

Hello,

Happy to let you all know that the feature is currently in development and will see the light before GDPR regulations come to effect. Will share more details on this front as we close down on the release date.

Cheers!

why you removed the "forget user" option under edit user???
with this option, we could delete a user and make the email available for the future...

Any update on this? We'll need to be updating our own website GDPR policy, so it would be great to link to instructions on how to remove your account

Folks,

Good news. The ability to permanently delete a contact should be available in a couple of days from now. Fingers crossed!

Cheers!

That sounds good. Can you give us an overview on how the feature will work?

How do I delete a customer and what happens with connected tickets etc?

How does it affect the monthly reporting data?

@Barbara: When the agents hit Delete permanently button, all information related to the contact will be wiped off from the system. Here are the various items that would be removed when a contact is deleted:

  • Tickets and archived tickets
  • Notes that were added to tickets (when the contact was CC'd)
  • Profile information
  • Calls (in Freshfone)
  • All topics created by a user (Forums)
  • All comments created by the user (Forums)
  • Satisfaction ratings given by the contact
  • Todos

As the tickets get deleted, the reporting data would be adjusted to accommodate this change.

Hope this helps!

Cheers!

This is live. You'd now be able to permanently delete a contact in Freshdesk. The option lies in the deleted contact page - Check out the video to see how this functionality works:

Cheers!

Hi there, referring to the question asked here: https://support.freshdesk.com/support/discussions/topics/320105#reply-to-post
Even through you directed the person who has asked the question to this discussion, the question still remains.

As I understand, admins can delete users permanently. No questions about that.

But if a user logs in their account, there is no feature for them to delete their own account. At least what I see by logging in. Will this be changed?

I think, GDPR says that you provide a way for a user to ask for deletion. You don't have to give this as an automated/integrated feature of your helpdesk. As a matter of fact I wouldn't want our users to be able to delete their own account without admin help.

Hello @Natalia,

At this moment, Freshdesk enables the agents to delete user accounts permanently in case if an user wants his/her data to be wiped off the system permanently. There is no inbuilt option for the user to delete their account themselves. We'll revisit this option in case there are more callouts for this feature.

Thanks @Gergely for pitching in with your views.

Cheers!

I understand, thank you for your answer!

Hi all, After a long wait I’m finally happy to announce that our GDPR assistant app now is released on the marketplace! Our app is very flexible and covers 3 important areas of GDPR compliance: * Automatic deletion of user data after certain periods of time. You configure for how long time data shall be stored, including exceptions or different time periods for different groups, types etc, and then GDPR Assistant will take care of the rest and make sure you're not violating the GDPR rules. And best of all: No more need of manual work to go through and delete data! * Creation of PDF reports, containing all interactions a specific person had with your organization, with a single click of a button. No more need to search, filter and export data to reply to a data subject request! * Complete deletion ("forget") of a user and all its related data from your Freshdesk account. You’ll find the app here: https://apps.freshdesk.com/gdpr_assistant/ And you can read more about the app on our website: http://swedbyte.com/freshdesk-gdpr-assistant/ Don’t hesitate to reach out to us with any feedback or ideas of improvements.
