Does anyone else have this issue?

I have a few departments that have sub-departments so you average user has a Line Manager that they report to within the department. Lets take for example:

Engineering Head of Department

Maintenance Engineer Line Manager Validation Line Manager Electrical Engineer Line Manager

Engineer Engineer Engineer Engineer Engineer Engineer Engineer Engineer

We don’t want the approval request to go the the Head of Department we want it to go to the line manager.

Also all our systems run off our AD so our internal organisation chart follows that structure.

We don’t want to make extra departments using the line managers as the head of departments

Currently we have to go through the requesters individually to change the reporting manager from head of department to their line manager.

Your help with this will be greatly appreciated.

Hello, 

 

Do you have many? You could add a custom dropdown field on the requester with the sub department. 
If you have Pro you can setup a Custom object where to define the sub department with a requester. In that way you don’t need to manually handle all requesters. In your approval workflow you can then read the custom object and filter on the sub department dropdown. 

You can do it without pro but then you just need do the in the workflow with conditions. Something like this. This is a dropdown with yes and no as options. Then you hard set the approver in the action. Much more admin doing in a workflow and it’s gets larger. With custom object you do all the admin in that and the workflow gets less complex.

I agree with this need! The heads of our departments are C-Suite level and bugging them for approvals from their entire department daily is a burden. Some items we would like them to weigh in but most items can be approved by their immediate manager and their sub department manager. The sub department manager will know the budget for the sub department and can plan accordingly.

I use manager approvals but I guess you see it as department manager. Fresh service has department managers as well.

Not just that, the Head of a department isn’t going to be the owner of folders on a file sever so asking approval for Joe Bloggs to have access to a folder means nothing to them. You want the folder owners that are generally the line managers

The solution we are using is to use a custom object to define if a service item should be approved by the manager, no approval or a named approver. They automation reads the object. 

We could hope for adding another layer of managers.

In the HR App you have Line Managers & Reporting Managers, why can’t this marry up. Or marry up with AD where the user has direct reports?

Do you AD contains the sub department as a field value on the user?

As I said you could use Custom object to match that value to a singel aprover.

Fresh has reporting manager and Department manager  but as you said you don’t want to create new ones.

Thank you Daniel,

It looks like it might of solved itself, I added the requesters that were in the sub-departments, into the parent department, then deleted the sub-department. The requesters that were moved kept their line/reporting manager so fingers crossed it doesn’t change
