How do I send emails?

Hello,

Now I have a very weird question, but I can not really know where I can send emails?

If I want to send an email to a customer who has not started a ticket, what do I do?

I have 6 different companies with 6 different companies emails.

I dont find: "the Mail tab"

Do you have a picture to show where this buttom is?

We have not provided SEND MAIL to customer from Freshdesk, although you can create a Ticket on behalf of a customer using the NEW TICKET button and once a ticket is created, Customer will receive a New ticket created Email notification, then you can reply to the customer.

All right.

But honestly, you must be able to email customers without having to create a Ticket.

We would for example not want our customers to get a lot of emails unnecessarily so that ticket started and closed.

Then we can in other words, do not e-mail?

We have tested a lot of different help desk software, and this was the best so far. But if you can not send an ordinary e-mail so it falls entirely on our part.

You may notice the New Ticket button with the option - Send & Close, which will never send an email notification to customer, but maybe once the ticket has been submitted, Agents can then use the same ticket to send replies.

We don't have the option to "send email to customers"  in immediate feature list, but we will surely collect feedback from customers on this and see how this can be implemented.

I'd like to add my vote for adding this functionality. We have the same need as described by Jimmy, but we also have another application of this requirement. Our support team often need to interact with the support teams of our suppliers. It is useful if we can send an outbound email in order to raise an issue with a supplier, and then have this monitored as a ticket in Freshdesk.

Eg, say from within Freshdesk we send an email with subject "Help help!" to support@somesupplier.com. This sends a plain old ordinary email to support@somesupplier.com, but also creates a ticket on the Freshdesk side. Then any response to our support inbox from support@somesupplier.com with the same subject is associated with this ticket (until the ticket is closed).

It would also be useful if such "outbound" tickets would not create all the normal automated responses (or if you could select which responses you want to be sent).

I would like to add my vote for this functionality as well.  It would enable us to bring another of our processes over to Freshdesk

What's the deal with this? Will you be able to send an email within a short time or will this feature be long before it is submitted?

We have chosen to use a competitor to the FD but the day when you can email (normal) and you are able to get up so customers can see the "normal response" on its Web site, we change directly to the FD.

Fully agree. We have 6 agents and around 40% of all the conversations we have are initiated by our agents (not by customers). 
  1. We don't want people to receive "ticket created' notifications when they create tickets by emailing our helpdesk (they'll get a reply from one of our agents soon enough anyway and these notifications just create noise/confusion)
  2. We do want people to receive "ticket created" notifications when we create tickets for them... so that we don't have create these conversations in two steps (create ticket + reply).
I can maybe persuade the support guys to take the two step approach in the short term if there was some plan to implement functionality such that "ticket created" notifications came in two varieties (ticket created by customer and ticket created by agent) onthe product roadmap. It's going to be much more difficult for me to get the agents to agree to this if there is no plan to introduce this this functionality in future FreshDesk releases though.

As such, could we get some indication of whether or not there is any chance of getting this functionality added to FreshDesk?

I would also like to cast a vote for adding this feature.  We would like to be able to send an email to all of our customers/users at once as well as a selected list.

We are currently working on integration with a few external mailing applications, that can be used to trigger Bulk Emails with your Support Email Address or Contact details, although not an exact requirement that you've posted, but this can partially help solve the requirement.

This would be a seriously helpful feature to implement.  We are attempting to become significantly more proactive with our customers and having this ability to initiate conversations rather than merely field external requests is the missing link in this equation.


We have implemented a relatively crude workaround in the interim:

  • create a secondary "customer service-only" email address for your agents that is completely separate from their everyday email.  For example:
    • primary: "johndoe@yourcompany.com"
    • customer service:  "johndoeCSR@yourcompany.com".
  • edit the reply-to address for the "johndoeCSR@yourcompany.com" address to point to your freshdesk support email (ie: "customersupport@yourcompany.com").
  • Any reply-to response to that specific email address should hit your freshdesk and be inserted into the normal workflow where you can handle all sequential communications from within the platform.
I'm not a huge fan of having to do this, but since 99% of people hit the reply button when responding (and do not copy/paste the visible email address), it ends up working pretty well.

 Please add another vote for this feature.  It would be very helpful to be able to send an email to all customers of one company and in some cases to all customers of all companies without creating a ticket.  I am presently in the process of on boarding my customer base, this feature would be extremly helpful in guiding and encouraging the use of this system.  Thanks... This would be very useful feature and asked also in https://support.freshdesk.com/support/discussions/topics/5668 .

I would like to emphasize that something like a bulk email feature does not work well here: the outbound emails are sent to one recipient at a time, just like tickets. The outbound email should already have the required ticket identifiers so the reply will be linked to the original ticket. Sending outbound emails from a separate email client (with customer service address) does not have these identifiers: when the customer replies a new ticket is created.

We've already implemented integration with Mailchimp/Constant Contact/Campaign Monitor, which you can use and Send Bulk Emails


Apart from these, Creating a New Email from Freshdesk is not possible, because it comes to like COMPOSE feature.


Although our Automations now support Subject fields, so you can edit the Subjects and Send a New Email reply from Freshdesk.

PS - When you use the SUBJECT FIELD, if the TICKET ID is removed from the field, whenever the End users reply, New Tickets will be created

I want to add my vote to this feature. If you read through all the responses (as I have done) you will see that Bulk Email is not the solution. The use case here is to send out a single email to a single user and for this email to be a ticket in Freshdesk so that when the user replies their reply goes into the ticket. Basically it is exactly like your New Ticket screen except that It must send an email to the Requester. Not send them a notification. Send them the actual ticket message. 


Hope you can add this to your product roadmap. It would be hugely useful for proactive support.

I would be interested in this too! Customers are easily put off when they receive an email from an unknown website asking them to create an account.

As mentioned earlier, we do not plan for a COMPOSE option in Freshdesk now. This is not in our plans itself. We don't want to change the functionality of a Helpdesk/Support system


As a workaround, I would suggest, to create a Dispatch'r rule, where Source is Phone - Send Email to Requester as action with placeholders like Ticket Description. Also in the Dispatch'r subject, no need to include the Ticket ID or so. Now, we support ID Less Tickets, so even if the end user replies back, it will be added to the same Ticket as conversation.

Not that it sounds like it matters at all since Vijay was pretty clear this is not going to happen, but I ran across this thread as a prospective customer that is researching different solutions.  I thought I would provide my feedback for whatever it's worth. 


I was very surprised that this simple functionality is not a part of freshdesk.  The lack of ability to create/compose a new email to a customer is a big enough reason to make me cross FreshDesk off our list of choices.

It saddens me that this a functionality that you do not intend to offer, this is a critical part of customer interaction that is oddly absent from your service.

Really this is a huge omission. I actually rejected Freshdesk as an option 2 years ago because of this feature alone. I'm now back and have decided we will just work around it, but I really don't see how adding the ability to send a new email that obeys existing signatures etc in place compromises the fact that it's a helpdesk. 


The Dispatch'r rule workaround is a bit crude. As an example, I can't see any way to get images in there, so our signature for new emails is different to replies. Also the agent name often get's left out, as if the agent forgets to assign the ticket to them, the agent name variable will be ignored. This is due to Freshdesk agent name variable being the name of the assigned agent NOT the agent sending the email.


It's a totally frustrating situation, we will continue to work round it but it will continue to annoy me no end.

Yeah basically we turned off all automatic e-mails to the customer because we couldn't control when the new ticket notification went to the customer. We don't want to send them a new ticket was created email every-time we initiate sending them an email.

We have decided to change services due to this issue.  While we found Freshdesk good at what it did do, what it didn't do was ultimately more important.
