Hi Guys,

Is there a way to use workflow automator to trigger an action if a service stage changes from one to another?

For example, if the stage changes from Anything to Fulfilled then trigger an action?

Much like with Service Request Approvals, if it changes from anything to approved then trigger an action.

I cant seem to work out how to do it with a stage change on the requested item.

Thanks!

I’ve not tested it myself yet but according to the December 2024 release notes it was recently made available in Workflows as a sub-condition:

Example given by Freshworks in their December 2024 release notes

Does this help at all or is this how you’ve currently tried to configure it but it’s not working?

I’m wondering if it would not be triggering as the event, whereby the Stage changes from X to Y, is being performed by ‘System’ and not a user.

This is something I had initially tried but it doesnt quite work as expected.

If I use a Ticket or Service Request is updated event, and then use the subcondition including my desired stage, whenever the ticket is updated and the subcondition is met then the action would occur.

What I am looking for is something similar to how approval events work. So for example, if the event is that the approval status changes from anything to the desired status

So for example, if the event is that the approval status changes from anything to the desired status,

and then moves on to conditions being met, the action would then occur. if that makese sense?

Gotcha.  Yeah that definitely sounds like it’d be a useful feature.  If you raise it as an Idea, update this thread and I’ll add my upvote.

Hi Everyone,

We have added this item to the roadmap - Stage of a service item being updated from Any to Any as an event for workflows to be triggered.

It will be out within the next 3 months.

Thanks,

Gopinath

Folks! This has been converted to an IDEA based on our PM’s ( @gopinath.shunmuganathan) update above.

I upvoted because I have a similar use case for a service request item to loan a laptop:

When the laptop is returned earlier than the end-time of the reservation period, the laptop becomes not available again for new loaners.  The stage of the requested item is set to ‘returned’ by our servicedesk, but this event cannot be captured in a workflow.  So I cannot build a workflow with an action to set the reservation end-time equal to the time of returning the laptop.  That automation would make the laptop available again for new loaners, immediatly after return of a previous loaner.

We would also be very interested in the implementation of this trigger, thanks for putting it on the roadmap. We need it for onboarding requests, as we are automating a lot of actions based on the fullfillment status of the requested items.
