Introducing Import Data to Freshdesk

Hi the Freshworks Community,

I’ve seen how challenging it can be to move customer data into Freshdesk—tickets, contacts, knowledge base articles, and attachments can easily get lost or misaligned.

Teams often rely on APIs, native Freshdesk import options, or CSV files. Each approach works in certain cases but can require manual effort or technical setup, especially for complex data.

As an alternative, I’d like to introduce “Import Data to Freshdesk,” an app built by Help Desk Migration, an official Freshworks partner.

The app supports importing the following data into Freshdesk:

  • Tickets, contacts, companies, and agents
  • Notes, tags, inline images, attachments, and side conversations
  • Knowledge base articles, along with categories and folders
  • canned responses, and scenario automations

You can migrate from 100+ platforms, merge multiple Freshdesk accounts, or request a custom source platform. The app also allows you to map fields, match agents, preserve relationships between records, and test migrations on a small set of data before Full Migration.

New in 2025:

  • Migrate subfolders to preserve the entire Knowledge Base structures
  • Transfer canned responses and scenario automations
  • Streamlined Freshdesk account connections for faster setup

If you’re planning a Freshdesk migration, share your plans or questions in the comments—I’d love to hear how others handle data imports.

One gap that is a problem for us is bulk importing a software user list.

Onboarding and offboarding to fulfil and revoke works brilliantly - but only one user at a time.
Users can be added directly, but again, only one user at a time.

When moving to FS we have never had the time to add the users who were current at the time.

Hi there,

In case, you plan another migration to Freshservice, check out these options:

  1. Use CSV to bulk import users. You can export users from your old platform into CSV. Then in Freshservice, go to Admin > Global Settings > User management > Requesters. Next, click Import and select Import from CSV.
  2. Transfer users using an automated migration tool. In app, Data Import to Freshservice, you can create users automatically while matching them.

You can use the same tips for importing users to Freshdesk and Freshchat too.

Hi, not uploading Requesters, that’s simple.

I mean updating the users logged against software (which ties into the offboarding automatic tickets).
