Hi, this seems like a fairly simple ask, but I am having trouble figuring it out. 

I have a service item that has a custom checkbox field. I need to export all tickets where this field is checked but I can’t figure out a way to filter out these requests using either the ticket filter/export or analytics. 

Is this possible?

Is the field on a ticket, or on a Service request (form)?

This is a custom form field on a service item. It’s a single checkbox field. I’m trying to find all service requests within a date range where this box has been checked, or a way to export all of these specific service items with the form fields included in the export so I can filter down to the requests where this box has been checked.

Hi @KevinE so, you need to set the REPORT filter to be be Type = Service Request, then you will be able to selelct the service item and then any field on the service item. 

 

  • Type = Service Request
  • Service item = eYour Item]
  • Service Item Field = lyour custom field]

I’ve found in the past this can be a little buggy, so you might need to ping support if is still doesn’t show you the service item filtering after saving it.

You’re right; this should be straightforward, but it can be challenging if the platform doesn’t support custom field filtering in exports. Here’s how you might approach it:

  1. Ticket Filter/Export: Check the ticket filter settings and look for options like “Custom Fields” or “Advanced Filters.” If your platform allows it, this would be the easiest way to filter by the checkbox field before exporting.

  2. Analytics Workaround: If filtering isn’t available directly, try setting up a report in Analytics with the checkbox field as a filter. This can often give you a focused view of tickets with the box checked, and you can then export that data.

  3. Bulk Export + Spreadsheet Filtering: If neither option works, export all tickets and then filter by the checkbox field manually in Excel or Google Sheets. Though it’s a bit more work, it’s like relying on a Toasty Heater for winter comfort—a little effort for a warm outcome!

Apologies for the late reply, I was away for a couple of days. As mentioned, it appears the correct options in Analytics and ticket export aren’t showing so i’ve raised a case with support.

You're right — Freshservice doesn't currently support filtering by custom checkbox fields directly in the default export or analytics tools.
As a workaround, you can use a third-party app like Data Import to Freshservice. It allows you to apply custom filters when exporting tickets. You can set conditions using AND/OR logic and even group filters for more precise results — including checking whether a custom field is selected.
