Do you have multiple teams using Freshservice for Asset Management? You may wish to restrict the assets that agents from different teams or locations can view and manage in Freshservice. 


Now, you can start restricting access to assets based on groups with the launch of group based access controls for assets. 


Here's how it works:


1. Create custom agent roles with global or group level access to assets


Under Admin -> Roles, you will see an option to configure custom roles with Global or Group access for Assets. If Global is selected, the agent will have access to all the assets in the Freshservice. If Group is selected, agents can only view and manage the assets that are assigned to the groups they are part of. 



2. Assign Assets to a Group


A new asset field called Managed By Group will be added by default to all your assets in Freshservice under the assignment properties. Assets can be assigned to the groups that you create under Admin -> Groups. 



Once this is done, agents with group access can only view the assets that belong to the groups that they are part of.

  • The Asset scope for group based access control will be applied in the following areas incrementally
    • SAM List and Detail Pages
    • Admin -> Discovery Agent List
    • Contracts -> Attach Asset pop-up
    • Dashboard activity feed
