What key factors do you consider, such as data security, cost, scalability, customization needs, integration with existing systems, maintenance effort, and long-term flexibility? From your experience, which option works better for small vs large teams, and what challenges or benefits have you seen with each approach?

Hi there,

If you’re deciding between cloud and on-premise CRMs, I usually recommend cloud: it’s easier to scale, maintain, and integrate, plus it supports remote teams.

On-premise only makes sense for strict compliance needs, but keep in mind many on-premise systems (like Spiceworks Desktop and Jira On-premise) are being phased out. For most teams, cloud is the safer, future-proof choice.

Cloud-based CRMs are ideal for small to mid-sized teams because they offer lower upfront costs, faster deployment, automatic updates, and easy scalability. They reduce IT burden and are great when remote access and quick integrations are priorities.

On-premise CRMs make more sense for large enterprises with strict data security, compliance, or deep customization requirements. However, they require higher upfront investment, ongoing maintenance, and dedicated IT support.
