Hi Community,Wondering if anyone can help.I am trying to create a FreshService ticket in PowerAutomate when someone fills out an MS Form. However, the FreshService connector requires the Requester's ID, which I thought would be straightforward. I added the dynamic content email address from the MS Form response, but it fails asking for a number. I need the Create Ticket to come from the user how completed the MS Form does anyone have any thoughts why this is not working or how I could achieve this? Many thanks 

Hi! My company has a portal for Solutions (articles) and another for Support (tickets). I would like to have a place to present videos and other information for new customers to explain them how account configuration works and guide them. Should I create a new portal or a custom section in the theme (we have a custom theme with Breezy)? I’m not sure what is possible.    

I have a question regarding the Freshservice portal for end users.  We have moved away from ‘Incident Categories’ and moved to the fields for Category/Sub-Category/Item.Things are working well, but a few inquiries have have come about stating too many clicks and added time searching for items in three different fields to submit a ticket. Has Fresh thought about a generic ‘Search Field’ where a keyword is typed in and selected (pulling from the Category properties) that auto-populates the Category/Sub-Category/Item fields when a user finds what they are looking for? 

I’d like to workout a way to address assets associated with deactivated users in our environment to flag for reporting that they need to be returned.  IE, User AD account is disabled, Freshservice Deactivates the account. This signal identifies that a user who has an asset associated with them as ‘used by’ and flips that device state to ‘Awaiting Return’ (or something to that extend.  Is there a way to do this in current state? I’ve been searching the Asset Workflow and cannot find any way to utilize used by user’s status to dictate anything. 

Hi all - I’m just starting out with FS. I am curious - we use M365 for our email. What are the pros/cons to using the built in email with Fresh Service vs configuring it to use our M365 environment?  Thanks 

We are in the process of ironing out a process for managing warranty replacements for our assets. I have a custom field, a check box (though i could make it anything else if that would help the process). I would like to have an automator that triggered when someone on our equipment team check’s that box and generates a ticket into the Tech support ticket queue we have.  I currently have it set to send an email to our domain, and to me. I get the email, our domain doesnt which makes me think that exchange might be blocking it somewhere. That said, I don’t want to drag our networking team into this if I don’t have to, and I feel like Fresh sending a ticket from Fresh to Fresh should be an easy ask. So...what am I missing here? 

Hi, so this is a two part question. First question, we have a few senior associates as requesters and not agents, will we be able to share analytics reports with them? I searched for them under “share reports”, but couldn’t find their profiles. There is an option called share to “everyone”, I’m not sure if that will share the report with all agents and requesters, that might become a mess!! Second question, is there any metric that shows the entire time a ticket has taken, like from creation time to resolution time in business hours? TIA!!

On the Freshdesk contacts page, how can I customize the fields/columns shown? I want to hide “Facebook” and “Twitter” and show a custom customer field (“Department”) that I created. Is this not possible on the Growth plan?

I have some tickets, that have been created internal and marked as a bug status. The problem is we do not respond to this ticket, which then triggers the “FIRST RESPONSE DUE” status. I have tried sending a response but this still isn't cleared.Any help is appreciated  

I’m looking for a way to export a .csv file of each time a specific service request was filled out. Specifically I want the exported csv to include custom field information that the user entered when filling out the request.For example a service request to get a specific software license which requires the user to include a justification for their request. I have done this in the past but I either cant figure out how I did it the first time or something changed and its no longer possible. My assumption would be to create a ticket view filter that compiles all instances of the specific service request “Software license” and then use the column filters to include the custom field “Justification”. When I filter out the “software license” I don’t have any way to view or export the custom fields included in that request.  

We have multiple workspaces and Service Catalogs in each.  Is there a “link” to only the catalog items for a single Workspace?  If not, how do we reorder Catalog items from multiple workspaces in the customer portal - I only see how to do this inside each workspace.

We have created and published several solutions articles in our environment. We followed the instructions to export the XML for the Solutions folder, and when we get it, it’s empty. How can we export our solutions articles into a format that we can save and read outside of FreshService?

If I have a freshservice setup with three workspaces: ITHRFacilities Currently the service desk has the standard “Raise an issue” card, and if the requester selects it, they go to the ticket form, where they have to select the workspace in a dropdown. I would like instead to have a widget that has an clickable image or button that says “Raise an HR ticket”, “Raise an IT ticket”, “Raise a facilities ticket”. These will go straight to the specific workspace version of the form.   

I set up an Enterprise Freshdesk instance independently for my team outside of IT since they were not ready to commit and now, they want to discontinue mine, set up a new Enterprise instance, expand it to other teams and basically take ownership. I spent a lot of time setting up the automations, fields, etc and we have been using Freshdesk for well over a year now. Is there any way for me to export everything I have created so I can import it into this new instance? Or do I have to manually recreate everything all over again?

Hi! So, one of our agents is facing an issue where the number of pending approvals is displayed as 5, but when he opens the widget, only 4 tickets are there. Tried filtering by “ticket approvals”, “change approvals” and “all approvals”, still the same mismatch prevails. Is there any reason as to why this is happening? Is it some backend issue? Coz it's been about 2-3 days, but still the same count is getting displayed. Due to this we’ve kept the approval process on hold. Any ideas or solutions are welcome!!!

Hi, I am fairly new to using automations and conditional nodes in freshservice. What I am attempting to do is check if any of a multi drop down form entry contains a word. For example “test”. How do I do contains or how do extract each entry in the multidrop down to then do validation on it?  

An internal policy we have is to keep the conversation the customer has to the same agent whenever possible. I’m looking for a way to set the assigned agent as none if the assigned agent is unavailable and the number of agent responses on the ticket is 0.It appears automations can only reference agent availability for Update Automations, and not Time based automations.Any ideas on how to achieve this? Just not possible?We’re currently just telling the team to set themselves as unavailable half an hour before they end a shift but would prefer something more reactive.

I am trying to re-order my solution articles manually but currently this doesn’t seem to be working.I can select to order them as “created by” or “A-Z’ etc. But when I select Manually it reverts back to default ordering and I can move the articles but they “snap” back to where they originally were.For context I have Admin and Agent permissions.Any help or known issues would be appreciated. I haven’t found any answers searching so far.

We have had an issue on a couple of occasions where an agent will merge a ticket incorrectly, into another companies ticket. Why does Freshdesk allow this to happen? There should either be the option to restrict ticket merging into the same company, or there should be a prompt that says “The ticket you are merging into, does not match the original company name of <insertcompanyname>.” As there is no way to undo a merge, I think there should be additional verification in place to ensure that ticket merging is going into the correct place.The current merge pop-out doesn’t give enough information. In our use case, agents perform key activities—for example, the IT team creating a user’s email address or the HR team creating an employee ID.  While there is an option to add a stakeholder, the dropdown consistently shows “No options available.” Is this expected behavior, or could this be a bug?

Hi everyone,I’m running into an issue where cases in my Freshservice instance are being auto-closed or marked as resolved sooner than I expect. Sometimes this happens even when the customer hasn’t confirmed that the issue is fully resolved, and it’s causing confusion with follow-ups and reporting.I’ve checked my workflow automations and service level policies, but I’m not entirely sure which settings control the timing of auto-closure. I’m also wondering if there’s a best practice around handling resolutions so that agents or customers have enough time to confirm before a case is closed.Has anyone else experienced this before?
