I set Asset Status = Retired, clicked Delete Forever on the entire list so the transaction would be in bulk - had about 3000 records to delete.

Then clicked Clear Trash.

Worked correctly until about a week later the exact same devices that were deleted returned to the trash.

I followed the same procedure and they have returned a 3rd time.

Anybody understand why this is happening?

The issue likely arises due to syncing or discovery tools re-importing assets into Freshservice after they were deleted. When assets are synced from external sources (like AWS, Intune, or discovery probes), even if they were deleted or moved to trash in Freshservice, they can reappear if the source system still includes them or sends a delete payload.

To address this:

1. Ensure that the external system (e.g., AWS, Intune, or probes) does not include these assets or has deactivated them if no longer needed.

2. Verify workflows or integrations in Freshservice that might be automatically pushing these assets back into the system or trash. Disable or update them as necessary.

3. Check whether an asset limit is being reached, causing assets to move to trash during new imports/scans.

4. Use scheduled workflows to disable discovery or automation for specific assets, ensuring they do not reappear.

5. After verifying the external source and workflows, permanently delete the assets from the trash again.
