Question

Report view tabular

Forum|alt.badge.img+2

I'm trying to create a report with a tabular view. I need this report to be reported to a requesters email adress.

The tabular view should at least contain the following culomns;

  • ID
  • Subject
  • Description
  • <custom field>

Is this somehow possible to create?

Others ideas would be great as well.

Thanks in advance!

@m.vd.horst If your Freshservice account was created before 1 June, 2021, then you have the direct option on a widget to view data in a tabular format. Please refer to this solution article: Why does the option to view data in a tabular format not appear for my widget?

However, irrespective of when your account was created, you can still view data in a table format using the ‘Underlying Data’ view option. Please see the screenshot below.

When you click this option, the underlying data table appears as a pop-up. Please see the screenshot below.

To add or remove columns from this view, you should edit the report by clicking Edit on the top right of the report page. In the edit mode, navigate to the underlying data view and click Edit Column on the top right to add the Description and custom fields. Ticket ID and Subject are already available as default columns in this view.

After creating the report, you can schedule for it to be sent to a recipient’s email ID at a chosen frequency - daily, weekly, or monthly. You can do this by clicking the 3 dots on the widget and selecting the Schedule option. Please see the screenshot below.

As part of the schedule options, you can choose the file type that you want to send to email - PDF, CSV, or XLSX. These options are available in the Report Format setting in the schedule window.

@Amrit Mishra, thanks for your reply.

The account was created last year, so that makes sense.

I checked your solution, but it doesn't show me the underlaying data in the PDF export.

Is the data export through csv or API the only option to do so?\

Thnx in advance!

@m.vd.horst Are you using the Export option at the top of the report? If yes, that doesn’t currently support underlying data export. It exports only the PDF of the report visualization. Please use the Schedule option at the widget level by clicking the 3 dots on the widget. After that, please select the CSV or XLSX options for the output file in the Report Format setting at the bottom of the window.

Data exports is also an option, but there’s a limit of only 5 data exports per module (tickets, for example). So scheduling at the widget level might be a better alternative.

@Amrit Mishra ,

Thanks for the reply.

Getting close to the solution.

Best would be an automated option. With the widget export I get the ticket details in csv and the graphic in PDF. Would it be possible somehow to get the csv details in a PDF?

Otherwise I will try to fix something with PowerAutomate or something like that.

Thnx!

@m.vd.horst PDF output for tabular data for widgets is not currently generally available. Please feel free to raise an idea for the same here.
