Hello,

we are looking for a solution, that our users have periodically (6 month) “acknowledge”, that the assigned assets are still in his/ her hand.

The problem we have is, that users sometimes do not return their equipment or do not document, once they return the equipment.

If I could ask the user on a regular base, if the equipment is still in his/ her hand, I would identify any gaps.

 

The feedback should be stored with the asset.

In the end we also plan to send a mail to the manager automatically what assets the user has to return, once he quits.

Any ideas?

Not sure if this might help you, but there is a standard default Scheduled Workflow for Assets (disabled also by default) that handles the Asset State if Las Audit Date is more than 30 days ago:

You would need to check for vacations or other long-term personnel absence, but it might come handy.

 

But you could also create a Scheduled Workflow for Assets, set it to run every 6 months (for instance, Monthly on day 1st of January and July) and directly send an Email to Used By in request them to confirm:

 

The response, if given, would be sent to your default email in your instance, and it should create a ticket for handling.

A little bit manual; relies on your users to reply to that email, but it might give you what you need.

 

The first one would keep your Asset Inventory automatically up-to-date.
